Checking where your passport application is

The status tool tells you less than you would like, and the gap between what it says and what is happening causes a lot of unnecessary worry. Here is how to read it.
The short version
- Status does not appear until the agency logs your application — expect up to two weeks of nothing after mailing.
- "In Process" is the long middle and covers most of the wait. It is not a sign of a problem.
- If you get a letter asking for something, respond fast — the clock restarts on receipt, not on the date of the letter.
Using the status tool
The State Department's online status tool asks for your last name, date of birth and the last four digits of your Social Security number. It is free, it is the official source, and no third-party service has access to anything it does not.
You can also sign up for email updates when you apply, which pushes status changes to you instead of requiring you to check. That is worth doing at the point of application, since it costs nothing and stops the daily refreshing.
The National Passport Information Center handles questions by phone. It is genuinely useful once something is wrong, and it is not useful for asking whether a normal application is going normally.
What the statuses mean
Not Available means the agency has not logged your application yet. After mailing, this is normal for up to two weeks, and it is not evidence that anything is lost. If it persists well past that with tracking showing delivery, it is worth a call.
In Process means it has been received and is in the queue. This is where an application spends most of its life, and it does not distinguish between waiting to be looked at and being actively worked on. Days of no change here are the expected experience.
Approved means it has been authorized and is being produced. Shipped means it is on its way, generally with tracking. If you paid for 1–3 day delivery, that speed applies from this point.
When something is wrong
If the department needs something — a clearer citizenship document, a corrected form, a compliant photo — you get a letter in the mail. Letters are slow in both directions, so the practical delay from a small problem is easily two to three weeks on top of everything else.
Respond as fast as you can and use trackable mail. Processing effectively resumes when your response arrives, not when the letter was written, so every day the reply spends in transit is a day added to the total.
If you have urgent travel and something has gone wrong, say so when you call. There are escalation paths for documented travel inside the urgent window that are not available to someone who simply wants it faster.
Reducing the number of things that can go wrong
Most correction letters are about one of four things: a document that was a photocopy when an original was required, a form signed at the wrong time or printed double-sided, a payment problem, or a photo that missed the specification.
The first three are checkable at the kitchen table. The fourth is the one people get wrong while believing they got it right, because a photo that looks fine and a photo that measures correctly are different things.
Head height between 1 and 1⅜ inches inside a 2-inch square is a band about three-eighths of an inch wide. Eye position has its own band. Background has to be plain and evenly lit with no shadow behind the head. None of that is visible by eye — but all of it is measurable before an envelope goes anywhere.
